Features

Place information into the Therefore™ system either by using a document scanner, by directly uploading existing, electronic documents, or by using the Therefore™ MFP Application. Documents can then be classified, indexed, and archived using the Therefore™ Capture Client or the Therefore™ Content Connector.
The Therefore™ Navigator enables users to easily find information, either by performing a full text search similar to popular search engines, or by using specific index data associated with the document that is being sought. The Therefore™ Viewer is used to view, edit, and check in/out documents. Documents can be opened and edited in their familiar, native applications, making it easy for users to make revisions.
Therefore™ Workflow enables the design and optimization of document or information business processes - automating how information is routed throughout an organization. Each employee knows what task they need to complete, the date it's due, and who's next in the process. Managers can monitor the progression of the workflow process and administrators can view the entire system to identify potential bottlenecks.
Therefore™ offers three methods of accessing your information remotely, helping to extend productivity when away from the office. Therefore™ Web Access enables remote access of the Therefore™ system via the most popular web browsers. The Therefore™ Mobile App (for iPhone® or iPad® mobile online devices, and Android™ devices) enables users to search and view documents, and participate in workflows, all from their mobile device. Therefore™ Anywhere allows users to take documents offline, and edit them when away from their network. Once reconnected, all changes are automatically synchronized to the system.
Therefore™ integrates with many different applications, programs, and solutions, including Windows® Explorer, Microsoft® Office, Microsoft® SharePoint, and many third-party scanning solutions, such as Kofax Capture®, eCopy™ ShareScan®, eCopy™ PDF Pro Office™, and uniFLOW. It also integrates with Windows desktop through Therefore™ Gadget, which can be used to monitor activity within the system, such as updates, workflows, and tasks.
Therefore™ securely stores documents and offers complete control over document access. Permission settings are easily configurable and highly customizable, ensuring that only authorized persons are given access to view and/or modify specific documents. Additional security features include audit trails, version control, digital signatures, and retention policy compliance.

This folder includes some categories for storing documents commonly associated with financial reporting and accounting processes. This often includes information relating to account balances, ledgers, profit-and-loss statements, annual reports, or other asset documentation.

As the financial information in these categories is confidential or restricted in most organizations, it is highly recommended to set stringent access permissions. Furthermore, due to the importance of traceability and record reliability, it’s very important to restrict the number of users who can make changes to these documents. By permitting unauthorized users to change financial information unchecked, your organization can fall victim to fraud and be subject to penalties related to non-compliance with financial reporting laws such as the Sarbanes-Oxley Act.


This folder includes some categories for storing different types of contracts your organization may handle, such as maintenance, property, or service contracts.

These categories require careful balancing of access permissions. While a draft contract may often need to be changed, sometimes by more than one party, signed and finalized contracts should generally remain undisturbed and most importantly, securely stored and quickly available to be used as evidence in possible legal disputes.

For this reason, it’s recommended to create two levels of access for these categories – Read/Write and Read-Only. The user group with Read and Write permissions is allowed to save and edit contracts as necessary. This should be restricted to a small number of individuals, for example authorized legal department employees. On the other hand, the user group with read-only permissions should only be allowed to view, not change, certain contracts. For example, this could include customer support employees who may need to reference, but not edit, customer contracts.


This folder includes categories for storing information related to customer service issues such as correspondence, customer feedback, support tickets, or even customer service SOPs. As the information in these categories may contain personally identifiable information of customers such as contact details or ID numbers, it’s recommended to restrict access to this folder to the specific group of employees who need it to perform their jobs.

Normally, access to this information would be limited to employees in the customer service or similar department, therefore it is suggested to create a user group called “Customer Service,” or similar, and assign the permissions at the group level. If required, specific permissions can be removed on an individual level by denying a specific user access to certain information they should not be able to view or change.


This folder should be used to store different types of documents commonly used by HR departments. Such documents often relate to employee records, leave requests, insurance, and various types of state and federal compliance paperwork.

As the information in these categories is highly individualized and often contains personally identifiable information, it is imperative that security permissions are set stringently for these categories. It is highly recommended to restrict access to these documents exclusively to employees who are specifically allowed to view and change others’ personal information. Failure to do so may expose this confidential information to unauthorized parties, and could lead to penalties related to non-compliance with confidentiality laws such as HIPAA.

Normally, this information would be limited to employees in the HR department, therefore it is suggested to create a user group called “HR” or similar, and assign the permissions at the group level. If required, specific permissions can be removed on an individual level by denying a specific user access to certain information they should not be able to view or change.


This folder includes some categories for storing documents related to order fulfillment and payment. This often includes information such as purchase orders, proof of delivery, and any associated documents.

As with the categories in the Contracts folder, these categories require careful balancing of access permissions. Though some information may need to be accessed by certain people such as customer service employees in order to perform their jobs, it is recommended that only a restricted group have additional permissions. For example, only employees involved in the financial aspect of the order management process, such as accounts payable, should be allowed to add, delete, or edit documents to minimize the risk of information being deleted or incorrectly categorized. This will help avoid hassles down the line when trying to match up purchase orders with invoices, for example.

For this reason, it’s recommended to create two levels of access for these categories – Read/Write and Read-Only. This folder includes categories for storing general documents related to marketing and sales. This often includes information such as price lists, sales guides, brochures, or advertising materials.

In contrast to the other categories, access to the information in this folder would generally not be restricted to certain parties. Assuming no confidential information is saved in either of these categories, these types of materials should generally be available to support all employees in their daily jobs. Hence, unless there is a reason to restrict this information, it’s recommended to give at least Read access to these categories to all users. If desired, it’s possible create a user group called “Sales” or similar, and assign Read/Write permissions at the group level. If required, specific permissions can be removed on an individual level by denying a specific user access to certain information they should not be able to view or change.
